Minutes

Apologies - Abi Fry, Paolo Oprandi, Jo Rees, Alison Laing,

1 Quiz Night - accounts / feedback

  • Net income was £307.19 (£54.61 less than last year). Ticket sales were down relative to last year and profit on meals was down due to higher food costs. The slight drop in profit is not a concern, as this is not a major fund-raising event. Instead, it is the only event solely for parents, and should be seen as an event for building/enhancing networks and connection to the school.
  • It was proposed to run a similar event in June, but for FoDIS to prepare food, which will be a salad rather than fish + chips.
  • As at other events, it would have been preferable to have recycling facilities rather than having most glass and cans going into general waste. The school only has arrangements for paper/card recycling, and we would have to pay for organised collection. However, several committee members indicated readiness to provide containers for collection (e.g. near food areas) and to take these away after events.
action - [various] - better provision of recycling facilities at events.

2/3 General accounts and expenditure committed

  • The precise situation was unclear as despite being treasurer Jo Rees could not get bank statements as she is not an account signatory.
  • The current balance is £6,345.47. Of this, £1,811.69 has been allocated to specific expenses:
    • Fence outside hedgehogs (£494.69 plus likely extra costs to cover damaged water main)
    • Gazebo for outdoor barbeque/drinks at big events - shared with Whitehawk School (£367.00)
    • Digital Camcorders (and other equipment ?) (£500.00)
    • Mexicolore - visit to school for year 2 (£350.00)
    • Children’s parade (£100.00)
  • An additional (major) expenditure would be to replace hard asphalt with soft play surface for some areas of the playground.

4 Eyepoppers

  • Weekly turnover has increased since Christmas, partly because £136.85 has been spent on new DVDs. For the first 6 months, these will be offered at £1.50 and then revert to the standard rate of £1.00.
  • It was agreed to offer a “£10 for 12 rentals” card, although we will have to work out how to accommodate the raised price for new rentals.
  • There was some discussion of having a reservation book, but this may be difficult in practice because people do not always return items on time.
  • People using the service need to be reminded of the need to care for videos and DVDs
action - Eloise (+)
- remind people of new stock, etc. (e.g. via email addresses of users)
- use website to list stock, new releases, etc.
- change pricing, and initiate discount card
- purchase wipes and cleaner to protect new DVDs

5 Environment / Gardening club update

  • Caroline B has spoken to gardeners at Stanmer Park Nurseries about suitable plants for front of school.
  • The last Sunday of every month will be run as an open gardening/maintenance club.
  • There was discussion about what to do in the space near the fence between the reception classes and the garage entrance, but no conclusion was reached (e.g. low soil quantity/quality; plants would need to be watered; pebbles are not feasible).
  • There was discussion of how better landscape the pond area - e.g. gravel for some areas, and wild flowers/grasses (but this may demand raising the wall to reduce the slope of this side).
  • Another target is re-painting the multicoloured railings at the back of the school and the bottom playground.

action - Caroline B - organise/promote gardening club

6 Other Business

  • Alison Laing has resigned as deputy chair. It was agreed that Nick Mills will take over this position.
  • Paolo has fixed up the website, so that we will be able to add information about events, gardening club, eyepoppers, etc.
  • The Spring Disco will be held on Fri 28 March. There will be one disco (not two as suggested at last meeting).
action - Eloise + Jo D to organise

  • Book fair is running this week and into next week
action - various committee members will assist before and after school.
  • Suttons Seeds catalogue will go out soon. Suttons Seeds takes care of delivery, etc. FoDIS will get 20% of sales.

action - Abi to collate/coordinate payments
  • There was some discussion of a “breakfast club”. Regine noted that a program had previously been run at the Junior School, but if folded due to under-use and/or unpredictable use. It would not be feasible for FoDIS to take on running this (especially if it was only for the Infants school).
